Job description:

– Drafting, organizing, and managing administrative documents and correspondence.
– Storing drawings and project-related files in an organized and systematic manner.
– Participating in coordinating work for the Project Management Board as required or necessary; promoting project work; managing project-related documentation.
– Preparing and writing meeting minutes.
– Receiving, filtering, storing, and sending project information, drawings, and essential basic information.
– Drafting official letters responding to inquiries and requesting information related to project implementation and sending them to the Project Director.
– Monitoring and organizing internal project records, managing site personnel files.
– Monitoring project progress, payments, and final settlements of project documents (materials, labor, etc.), resolving any issues arising with project material suppliers.
– Receiving and classifying documents submitted to the Project Management Board; controlling the format of documents and files signed and approved by the Project Management Board to ensure compliance with the Company’s procedures, processes, and regulations.
– Submitting periodic work reports: weekly, monthly, etc., or ad hoc reports to management.
– Translating and interpreting incoming and outgoing correspondence, documents and files, phone calls, and meetings as required

Standard:

– Education: College degree or higher in Economics, Accounting, or Construction.
– Knowledge/Experience: At least 3 years of experience in a related position; preference given to candidates with experience as a secretary in construction projects.
– Foreign Language Proficiency: Proficient in English listening, speaking, reading, and writing.
– Computer Skills: Proficient in Microsoft Office and relevant professional software.
– Other Abilities: Presentation, persuasion, communication, and information exchange skills; strong organizational and time management skills.
– Qualities, Personality, Attitude, and Behavior: Careful, good communication skills, honesty, and enthusiasm for work.
